Voice 21 Oracy School Membership
1. Membership termination policy
1.1 Up to 14 days after registration
Your school may cancel their membership during this period and receive a full refund provided that Voice 21 receives notification in writing within 14 days of registration by emailing [email protected].
1.2 After 14 days from registration
From 14 days after registration, Voice 21 does not accept cancellation of membership. Schools cancelling during this period will not be entitled to a refund and will be expected to pay the costs of the membership in full.
This is the same for multi-year subscriptions: after 14 days from registration, your school will be liable to pay the balance for each year of membership your school committed to at registration.
If more than 14 days have elapsed since your school’s registration and you wish to request an exceptional cancellation or deferral of your membership, please email [email protected]. Any such exceptional deferral or cancellation will be at the discretion of Voice 21.
2. Programme and Implementation Support Session/Day – Cancellation Policy
2.1 Cancellation by Voice 21
In certain circumstances, a whole programme (and/or individual development days) or an Implementation support session/day may need to be cancelled either by the school or by Voice 21.
We recognise that cancelled delivery can cause significant inconvenience to the member school and the Voice 21 team; we therefore do all we can to avoid cancelling delivery commitments and ask that our schools do the same.
2.1.a Cancellation due to Voice 21
If for any reason Voice 21 needs to cancel a delivery commitment, we will notify you via email and/or phone call to inform you of this as soon as possible.
If Voice 21 cancels for any reason other than non-payment of fees (2.1.b) or force majeure (2.1.c), you will be entitled to have the day(s) re-scheduled at an alternative date during the membership year.
Voice 21 will endeavour to organise this on dates convenient to you, subject to team availability.
Voice 21 understands there may be costs incurred by the school due to cancellation of delivery but will not be liable for these costs except in exceptional circumstances, at Voice 21’s discretion.
2.1.b Cancellation due to Non Payment of Fees
We reserve the right to cancel a school’s programme development days or implementation support session/day for any school that has not paid its membership fee 4 calendar weeks before the day is due to take place.
If your programme development days or implementation support session/day is cancelled due to late payment, any decision to reschedule will be dependent on payment of fees and at Voice 21 discretion.
2.1.c Cancellation due to circumstances beyond our control
If your programme development days or implementation support session/day is cancelled due to force majeure circumstances, Voice 21 will look to honour the date by moving the programme activity online in the first instance. Where this is not appropriate, we will try to reschedule for a date within your membership year but this cannot be guaranteed. Circumstances include but are not limited to:
2.2 Cancellation by the school
Cancellation of delivery commitments by our schools carries a significant cost for Voice 21 as staff time is allocated and travel and accommodation are booked in advance. We ask our schools to do everything they can to avoid cancelling commitments with us. Generally we can be flexible and adapt plans for delivery based on the situation.

2.2.a Programmes
If you wish to cancel your booking for a programme in its entirety, you must notify Voice 21 in writing by emailing [email protected] at least 2 weeks in advance of the first development day.You will be able to book onto another programme running in the same membership year, subject to availability. For the purpose of implementing this cancellation policy, the date of receipt of the email is the date on which the cancellation shall be recorded.
2.2.b Programme Development Days
If you are unable to attend one of the planned programme development days, you must notify Voice 21 at your earliest convenience. Re-booking for a date later in the membership year is subject to availability on remaining programmes and is not guaranteed. Where re-booking onto a later programme development day isn’t an option, Voice 21 will always provide an alternative means of covering the learning content missed, either through our online learning content or a call with one of our Voice 21 Oracy Experts.
2.2.c Implementation Support Session/Day
You will be informed by Voice 21 of the date for your implementation support session/day and asked to confirm it. The point at which a school confirms the date for their implementation support session/day with their Programme Lead, Voice 21 treats this as a booked commitment.
After this point, the following cancellation terms apply:
Once a school confirms the date for their implementation support session/day, Voice 21 team members book travel and accommodation. Cancellations within this time period represent a significant cost to the charity and for this reason we are not always able to offer an alternative date. To do so will incur a rescheduling fee.
If we have not heard from you to confirm your implementation support session/day at least 3 weeks before the scheduled date, Voice 21 will cancel the visit and you will not be entitled to rearrange.
